Terms & Conditions
In making a booking for a Writers in the Wild Retreat, you agree to the following terms and conditions:
Acceptance
A contract for the services is made between Writers in the Wild and the guest upon the issue of a formal written confirmation (e-mail) of booking by Writers in the Wild. The contract is subject to these terms and conditions which the guest has been deemed to have read and fully understood. These terms and conditions can only be varied by written agreement between Writers in the Wild and the guest.

Cancellation
Due to the expenditures incurred up front, we are unable to give refunds. However, if we have a waiting list, we will endeavor to fill your spot for you. If we are able to fill your spot, a refund will be issued.

In the event we do not have a waiting list, you may find a replacement and transfer your booking to another party. In the case of a transfer, you will be responsible for obtaining payment from the other party and for alerting Writers in the Wild of the transfer. Once the new party has completed the guest registration form and agreed to the Terms and Conditions, the transfer will be complete.

Please contact us in writing via email immediately if you need to cancel at info@writersinthewild.net. Upon receipt of your written cancellation, we will confirm via email that we have received your cancellation.
In the unlikely event that Writers in the Wild must cancel a booking, we will give you the choice of re-booking for a future retreat or you may request a refund, less any credit card processing fees, cancellation fees, and nonrefundable deposits we paid to local suppliers on your behalf. We work with our suppliers within each destination to minimize the amount of non-refundable costs and recover as much of your money as possible..
If there is a difference in price from the original booking and a replacement booking, we will either refund any difference or ask for the difference to complete the new booking. If we must cancel, we cannot pay your lost travel or other costs.

Our liability to you is, in all cases, limited to the fee you have paid.
Please note that due to contractual obligations with our suppliers, we cannot make exceptions to the cancellation policy, regardless of the reason for cancellation. Many credit card companies have some cancellation insurance if you need to cancel at the last minute due to unexpected developments, and we recommend you check these policies, and, of course, that you always have travel insurance.

Transfers
If you are unable to attend you may - with our written agreement - nominate someone else in your place, and transfer any deposit and fees you have already paid. You would be responsible for obtaining payment from them for your spot.
Payment Options
A payment plan is available for those who request it with an additional processing fee of $50. Please email info@writersinthewild.net and use "Payment Plan" in the subject line. We will do our best to accommodate your request.
In the event that a balance is not paid in the specified time frame Writers in the Wild will have the discretion to treat the booking as canceled by the guest and to re-sell the retreat space. The fee paid by the guest will be retained by Writers in the Wild.
Travel Insurance
We cannot reimburse travel costs or other losses incurred by you in the event of cancellation by us or you. We recommend that you take out travel insurance to cover potential loss arising from cancellation or other eventuality affecting your booking, including reimbursement of fees, travel or other costs. This article in Forbes Magazine has great information about purchasing travel insurance.
Insurance during Covid 19 is imperative. Research policies carefully to make sure they include cancellations on your part if you feel uncomfortable traveling with surging cases or the discovery of a new variant. Most policies now cover the cost of quarantine, which for the majority of healthy, fully vaccinated people is now the worst case scenario. CFAR (cancel for any reason) travel insurance may be more expensive than a basic policy, but it should cover everything, including any last-minute apprehension due to Covid.

Services
Writers in the Wild reserves the right to alter the content of the services at any time without notice to the guest due to certain factors, including, but not limited to the weather, staff, and any physical fitness of the guests.
Any information on / about our services published by Writers in the Wild for its literature and web site is designed for illustrative purposes only.
If the guest elects not to participate in any of the services being provided, Writers in the Wild has no obligation to provide an alternative activity or service and the guest will not be entitled to a refund or compensation.
If Writers in the Wild believes that a guest's health and safety is at risk, or a guest has failed to disclose any relevant health information in accordance with our terms and conditions, Writers in the Wild may at its absolute discretion make decisions affecting the guest and where necessary may terminate the contract immediately.
Conduct
Writing retreats rely on a supportive environment that depends on tolerance and understanding of all participants and their creative work. We therefore ask that you are thoughtful and respectful of the other writers and help foster an atmosphere conducive to creativity.
Guests must refrain from any illegal act or any conduct, physical or verbal, which may give offence or cause danger or damage to any person or property. If Writers in the Wild or any of its team, venue staff, consultants or agents become aware of any such action then Writers in the Wild or any of its team, venue staff, consultants or agents may at their absolute discretion have the guest immediately removed from any property or facility without refund or compensation. Writers in the Wild will have no liability whatsoever to the guest under such circumstances.
We reserve the right to refuse a place and/or to exclude from a retreat any guest who behaves in an abusive or disruptive manner or engages in any discriminatory or illegal conduct. No refund will be given if exclusion is made for these reasons.
Guest Medical and Health
It is the guest’s responsibility to inform Writers in the Wild, in writing, of any past, present or potential health issues that may make them unsuitable to participate in the physical aspects of the retreat. You are required to notify us of them in full prior to making your reservation / booking via our contact form on our website (writersinthewild.net) or by emailing us at info@writersinthewild.net.
All guests should be aware that when participating in any physical exercise such as hiking, there is the possibility of physical injury. In making a reservation / booking with Writers in the Wild, you agree to assume such risk and agree to release and discharge Writers in the Wild from any and all claims for liability, injury, loss and/or damage arising from your participation in our retreat.
If Writers in the Wild or any member of the Writers in the Wild team believe that your health or safety is at risk or if you have failed to disclose to Writers in the Wild in writing any illness, injury or any previous or current medical or health condition / reason that could potentially impact your ability to participate in Writers in the Wild excursions, this could result in Writers in the Wild’s refusal to allow you to participate in any further physical aspect of the retreat. In such a situation, Writers in the Wild would not be responsible for any type of refund or compensation.
Subject to prior notification to the contrary in writing by the guest to Writers in the Wild, the guest must confirm that she is of good mental and physical health and not aware of any reason why they may be unable and/or unsuited to participate in the Writers in the Wild retreat, and/or may be likely to suffer illness or injury whilst participating in the services provided by Writers in the Wild.
If you have not hiked regularly, it is advisable to consult with a doctor prior to participating in the hiking on this retreat. Medical facilities vary and we make no representations and give no warranties in relation to the standard of such treatment or advice provided by your physician.
Damage and cleaning
The buildings and grounds are your home during your stay; please treat them with care and respect. We will seek reimbursement for any damage caused or excessive cleaning required as a result of your stay.
Pets
Pets are not allowed, unless it is a trained service animal. Prior notification is required if a service animal is needed via email at info@writersinthewild.net. Once such notification has been confirmed by an email from Writers in the Wild, the booking can be made.
Smoking
Smoking is not permitted.
Guests and Companions
We are not able to accommodate companions or guests who are not taking part in the retreat as a fully paid guest.
Age Limit
We are happy to accept serious writers of any age, but this is an adult trip suitable for those able to work unsupervised on their own writing. Writers in the Wild only offers tours and related activities to women aged 18 years and over. Our retreats are not appropriate for children.
Privacy and Data
By booking, you agree that we may collect and store personal information about you. This includes: your personal contact details; gender; birth date; details of your booking and booking history, including any dietary needs you have told us about; records of payments (not including credit/debit cards numbers etc.), any correspondence and any other information we need to keep in order to administer your booking. All personal information is kept securely on electronic systems. We do not store payment card details. We will use this information to communicate with you about your booking and we may, unless you tell us otherwise, communicate with you occasionally about our work and other retreats and support for writers that we offer. We never share or sell information about our participants with any third party, either in aggregate or in individual form.
Media
Writers in the Wild reserves the right to take any photos / recordings of the client during the services, and the client accepts that all rights whatsoever arising in the recordings shall be solely owned by Writers in the Wild. The client accepts and agrees that any photos / recordings may be used by Writers in the Wild at its absolute discretion in any manner, including but not limited to its website, promotional material and advertisements.
Loss
The organizers of this writing retreat cannot accept responsibility for any loss, damage or expense sustained by participants as a result of an event or circumstance whether arising from natural causes, human agency, or otherwise beyond its control. At all times, our liability to you is limited to the retreat or retreat fee you have paid.
Participation and access
We are committed to providing a supportive and welcoming environment to all. Some of the sleeping accommodation is accessible without stairs, and most of the meeting, writing and eating areas are on the ground floor (and outdoors under trees). However, if you have specific needs, it is important that you discuss these prior to booking, to establish whether your needs can be met. Liability
The retreat participant agrees that Writers in the Wild and its representatives will not be liable or responsible for injury, death, accident, sickness, or damage to participants or lost, stolen or damage to their property while attending the retreat. The acceptance of our written confirmation and a deposit or full payment for our services constitutes acceptance of these terms and conditions.
Comments and Complaints
While we make every effort to provide a high quality experience for all writers, you may on occasion want to offer comments or make a complaint. At the end of the retreat we will give you the opportunity to provide feedback through our evaluation form but if you feel this is not sufficient, you may wish to make a formal complaint. Note that all complaints should be made, in writing, within ten working days of the end of your retreat. Failure to provide notice of the complaint in accordance with the above will preclude the client from being entitled to take any further action against Writers in the Wild.
